Mary Robinson: Graduate Secretary
Secretary to the Graduate Coordinator, Dr. Henretta

What She Does:

  • In charge of preparing exams for graduate assistants and professors (see section on Preparing Exams).
  • Assists students in signing up for classes; you must get section numbers for sociology graduate seminars as well as independent study and research hours from her.
  • Maintains graduate students’ files, i.e., all information that comes in through the department about graduate students, starting with original application. This includes any forms that must be completed through your progression through the program (see next responsibility). It also includes T.A. evaluations from the faculty and Dr. Beeghley as well as transcripts and other departmental paperwork. You can arrange to see your file with Mary. Please note that you cannot see all items, e.g., letters of recommendation.
  • In charge of paperwork for M.A. final examination, Ph.D. qualifying oral examination, Ph.D. proposal hearing, or Ph.D. final examination/dissertation defense. Keep her appraised if you are planning to do any of the above so that she can make sure all the paperwork is in order. Remember, we are graduate students first and T.A.s second. We must make progress through the program to maintain our assistantships and graduate in a timely manner.
What She Does NOT Do:
  • Answer questions about assistantships or fellowships; see the Graduate Coordinator, Dr. Henretta.
  • Provide advice about classes to take or credits needed for the program; see Dr. Henretta and/or chair of your committee. Of course, Dr. Henretta has the last word (according to the Graduate School’s and the Sociology Department’s policy) on what credits will count towards your degree.
  • Provide advice on teaching; see the Graduate Teaching Coordinator, Dr. Beeghley.
  • Have information about paying schedules and amounts; see Sheran Flowers, Payroll.
  • Give out keys; see Sheran.
Sheran Flowers: Payroll

What She Does:

  • Deals with all payroll correspondence.
  • Administers all payroll and tuition waivers.
  • Administering letters of appointment to T.A.s.
  • Currently distributes keys, but Michell Hicks may be taking over this responsibility.
What She Does NOT Do:
  • Handle grant dispersal; see Senior Secretary, Michell Hicks.
  • Assign office space for all graduate assistants; see Department Chair, Dr. Radelet.
  • Administer all teaching/assisting assignments; see Associate Chair, Dr. Zsembik.
  • Process the teaching schedule through the NERDC mainframe; see Mary.
Michell Hicks: Senior Secretary
Secretary to the Department Chair, Dr. Radelet

What She Does:

  • Receptionist, answers phones, assists anyone coming into office, assists with faxes, or conference room scheduling.
  • Distributes mail.
  • Xeroxes for faculty and graduate students (this and the above two responsibilities are sometimes done by undergraduate work-study students).
  • Handles grant administration and records.
  • Responsible for distributing paychecks.
  • Responsible for faculty and graduate travel reimbursement processing.
  • Responsible for billing of incurred expenditures over allotted amounts for each faculty and teaching student for postage and Xeroxing.
  • Keeps files and works with search committees for recruitment of faculty positions.
  • Assist faculty in Tenure and Promotion procedures.
  • Responsible for distributing teacher evaluations, those filled out by students at the end of the semester.
  • Responsible for distributing and returning Grade sheets.
  • Responsible for Grade Change forms.
